Depending on how you interact with HeartFlow, we may collect:

4. Email Communications
When you choose to join HeartFlow’s email communications, you may receive supportive and educational content as well as occasional information about workshops, courses, programs, and other HeartFlow offerings.
HeartFlow currently uses a double opt-in process, meaning you are asked to confirm your subscription through email before being added to these communications.
You may unsubscribe from marketing emails at any time by using the unsubscribe option included in the email.
We may still send communications that are necessary to provide something you purchased or requested, such as registration information, access instructions, receipts, or important service-related messages.
5. Workshops, Surveys, Assessments, and Feedback
When you register for or participate in a HeartFlow workshop, survey, assessment, or feedback process, we may collect personal information such as your name, email address, organization, and responses to reflection or feedback questions.
We use this information to administer workshops, communicate with participants, prepare and personalize workshop content, understand participant experiences, evaluate program effectiveness, provide follow-up resources, and improve HeartFlow services.
HeartFlow may use trusted service providers and private AI-assisted tools to help securely store, organize, summarize, or analyze information on HeartFlow’s behalf. Where practical, information may be aggregated or de-identified before analysis.
When an organization sponsors a workshop, HeartFlow may provide the organization with aggregated or de-identified findings. HeartFlow does not share participants’ names, email addresses, or identifiable individual responses with the sponsoring organization unless participants have been clearly informed in advance, have given separate permission where appropriate, or disclosure is required by law.
Feedback will not be published as a testimonial without permission. When permission is granted, the participant may choose how their name or identifying information is displayed.
6. Live Workshops and Recordings
Some live HeartFlow sessions or group workshops may be recorded for educational, participant access, program development, or improvement purposes.
Participants will be informed when a session is being recorded.
When a recording is intended to be shared with participants in a specific group, access will be limited to that intended audience as reasonably practical.
Participation in a workshop does not automatically give HeartFlow permission to use a participant’s identifiable image, voice, personal story, or contribution publicly for marketing or promotional purposes. Separate permission will be obtained when appropriate for such use.
7. Purchases and Payment Information
Payments for HeartFlow products and services may be processed through third-party payment providers, including Stripe, in connection with the Kajabi platform.
HeartFlow does not directly receive or store your complete payment card information. Payment providers process payment information according to their own privacy and security practices.
HeartFlow may retain transaction information necessary to administer purchases, provide services, maintain business records, and meet applicable accounting, tax, or legal obligations.
8. Service Providers
HeartFlow uses third-party services to operate its website and business. Depending on how you interact with HeartFlow, these may include:
- Kajabi for website hosting, forms, program delivery, customer information, purchases, and email communications.
- Stripe for payment processing.
- Calendly for scheduling.
- CookieScript for managing cookie preferences and consent.
- OpenAI-powered private tools may be used internally to assist HeartFlow with operational activities such as organizing, summarizing, or analyzing program and survey information and assisting with website and program administration.
- Other technical infrastructure may be used to securely operate these internal tools.
These service providers may process personal information when necessary to provide their services to HeartFlow. Their handling of information is also subject to their respective privacy and data-protection practices.
HeartFlow does not sell personal information to these service providers.
9. Cookies
HeartFlow.life uses cookies and similar technologies to operate the website.
The Kajabi platform uses certain essential cookies necessary for functions such as website operation, login sessions, and purchases, as well as certain non-essential cookies.
HeartFlow currently does not intentionally use additional advertising pixels, behavioral advertising trackers, or third-party analytics tools such as Meta Pixel or Google Analytics.
Where required by applicable law, non-essential cookies are used only after appropriate consent has been provided.
